Send Posted Sales Invoices and Credit Memos
You send a document after it is posted, from the posted invoice or posted credit memo. Choose Send via E-Invoice Platform, and the document is turned into a Peppol payload, sent to the platform, and recorded in the send log with the identifier the platform assigned it.
Only posted documents can be sent. An unposted invoice shows whether it will be sendable, but nothing leaves before posting.
Before you start
- The customer needs a Peppol Endpoint on the customer card. See Set Peppol Endpoints on Customers and Vendors.
- This Business Central company must be mapped and its mapping status must be OK. See Map Your Companies to the Platform.
Send one document
- Open the Posted Sales Invoice or Posted Sales Credit Memo.
- Choose the Send via E-Invoice Platform action.
On success you get a confirmation with the message id the platform assigned:
Sent. Message id: id
If something about the document was imperfect but not fatal — a missing PDF layout, for example — the message id comes with a warning after it. The document went out; read the warning and decide whether to correct anything for next time.
Send several at once
- Open the Posted Sales Invoices or Posted Sales Credit Memos list.
- Select the rows you want to send.
- Choose the Send Selected via E-Invoice Platform action.
A batch does not show a confirmation per document. When it finishes you get one summary:
n sent, n failed. Details are in the E-Invoice Platform Log.
Failures do not stop the batch. Each one is written to the log with its reason, so a batch of fifty with two bad customers still delivers forty-eight.
Check before you post
Both the Sales Invoice and the Sales Credit Memo page carry a Peppol box showing whether the document will be sendable once posted:
- Ready: endpoint — the customer has a valid endpoint and this will go out.
- No Peppol Endpoint on the card — fill one in first.
- Endpoint has an invalid format: value — correct the endpoint on the customer card.
This reads the customer card only. For the authoritative answer on whether the address can actually receive documents, use Verify Recipient on the customer card.
The box also shows Intercompany when the recipient turns out to be one of your own companies on the platform. Blank means it is an outside party.
Attach a PDF of the invoice
Turn on Attach PDF to Outgoing Documents on E-Invoice Platform Setup to send a PDF rendering alongside the structured data, so the receiver sees the invoice as you designed it.
The report comes from Business Central's own report selection, so that must be configured:
- Choose the
Search icon, enter Report Selection - Sales, and then choose the related link. - In the Usage field, choose Invoice, and check that a report is listed. Repeat for Credit Memo.
- To give one customer a different layout, open the Customer Card and choose the Document Layouts action.
Rendering never stops a send. If the layout fails, or no report is configured for the usage, the document goes out without the PDF and the send reports a warning saying so.
Reverse charge
Where a document contains a reverse-charge line, the VAT exemption reason and reason code configured on E-Invoice Platform Setup are sent with it (BT-120 and BT-121). The reason text is the legal mention your customer reads, and it differs per ground for the reverse charge — construction work under the Belgian medecontractant scheme needs different wording from an intra-Community service. Set it to match what you actually apply.
What happens next
The send is recorded in the E-Invoice Platform Log with its status, the platform document id and who sent it. The posted document itself gets an E-Invoice Status box showing the same, with actions to check delivery and download the UBL.
